CALL FOR PROPOSAL 2026

The International Conference on GeoInformatics for Spatial-Infrastructure Development in Earth & Allied Sciences (GIS-IDEAS) provides a platform for sharing of knowledge and valuable experiences and help promote collaborations and scientific exchanges between not only between students, researchers and practitioners Japan, Vietnam and Thailand but also our other colleagues involved in developing and promoting GeoInformatics technologies. The conduct of GIS-IDEAS Conferences is based on the spirit of mutual cooperation and openness.

GIS-IDEAS is planned around a central theme which is decided in consultation with the host institution.  Apart from Technical Sessions on GeoInformatics technologies and applications, Special sessions on different topics related to Geo-informatics are also held during the conference.

The next GIS-IDEAS Conference is scheduled to take place at in the last quarter of 2026.  This will be the 13th conference in the GIS-IDEAS conference series which are being hosted from 2002 and held once in two years.

We now invite proposals for hosting the GIS-IDEAS 2026 conference. Please use the form below to upload your proposal in PDF format. The final proposal should contain the following information and any other other information that may be relevant to hosting the conference.

  1. Dates (Anytime from mid-September 2026 to early December 2026), including schedule for training workshops and technical session. GIS-IDEAS is normally of 3 days duration including 1 day for training workshops and 2 days for Keynote talks and Technical sessions. Generally, an optional day for field visit is also added.
  2. Tentative Theme of the Conference
  3. Members of Local Organizing Committee
  4. Tentative list of potential Keynote speakers
  5. Venue
  6. Transportation and access to venue
  7. Plan for conducting in Hybrid Mode (Online/Offline)?
  8. Infrastructure available (Meeting rooms available with capacity, Internet Access, lecture rooms for workshops etc.)
  9. Main organizers and possible list of supporting organizations
  10. Potential sponsors, partners and co-organizers
  11. Plans for bringing our peer-reviewed Conference Proceedings or other academic publications
  12. Information on planned Conference Registration Fee, Student Discount, etc.
  13. What are the Eco-friendly measures you plan to introduce in organizing the event?
  14. Availability of hotel rooms near venue and approximate cost for single or shared rooms
  15. Any other information that will help the Selection committee to arrive at a decision.

  • Submission last date: 27th January 2025
  • Replies to queries from the selection committee: 10th February 2025
  • Voting for host selection: 12th23rd February 2025
  • Announcement of host country: 25th February 2025
  •  Dates of event: Anytime between September 2026 to December 2026

All times are 12:00 midnight AoE Time Zone.

The selection committee will vote during 12th – 23rd February 2025 , and decide the host for GIS-IDEAS 2026 The host selection will be announced on  25th February 2025

IMPORTANT NOTE

The hosting and archival arrangements for the GIS-IDEAS 2026 conference emphasize long-term continuity and resource allocation. Key details include:

  1. Conference Website and Archival Platform:
    • The website and contents for GIS-IDEAS 2026 will be hosted on the Conference Management Platform (CMP) managed by AGILE (Association of Geoinformatics Laboratories for Earthsciences).
    • This platform ensures the preservation and accessibility of conference materials.
  2. CMP Fee and Financial Responsibility:
    • The CMP hosting cost for the period from 01/01/2024 to 31/12/2025 is covered by the GIS-IDEAS 2024 host.
    • The 2026 host organization is required to bear the CMP fee for the subsequent two-year period (01/01/2026 to 31/12/2028).
    • The hosting organizations must allocate a specific budget for this purpose.
  3. Additional Budgetary Expectations:
    • In addition to covering CMP fees, the host organization must also set aside funds to support the travel expenses of 4-5 invited/keynote speakers.

These provisions ensure the smooth functioning of the conference and the sustainability of its outcomes over the long term.
